What Your Transaction Coordinator Does

Open the File

  • Your TC will coordinate the opening of the file and handle all documents securely.
  • An introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to the co-op agent, buyer/seller, lender, and title company as needed.
  • Send/request disclosure packages and ensure all documents are signed by designated parties.

Coordinate

  • Verify the EM deposit, obtain and share the receipt from escrow.
  • Schedule/Verify the inspection date and time.
  • Update deadlines due to any changes in the contract.
  • Order Home Warranty per contract if needed.
  • Order HOA documents through title if needed.

  • Ensure your buyer/seller is provided with a copy of all documents.
  • Maintain constant contact with all parties involved for status updates as well as collecting outstanding items.
  • Coordinate and confirm final walk-through.

Keep Lending On Track

  • Monitor appraisal timeline and completion with the lender.
  • Coordinate and monitor buyers’ loan status with the lender.

Get Your CLOSED

  • Schedule the signing appointment for the client and agent, if applicable.
  • Submit all required contract documents to brokerage for compliance
  • Draft CDA and send to agent for approval.
  • Submit agent-approved CDA to brokerage compliance.
  • Conduct a final audit of the file 7 days prior to closing to ensure all documents are uploaded and the file is complete.
  • Upload final closing documents to the agent’s online transaction management service for compliance.
  • Send a thank you email to your client asking for a review on your preferred sites.

Agent Expectations

Commandments

  • I recognize that, as a Licensed Real Estate Agent or Broker, I am the owner of my business and I am ultimately responsible for errors or misrepresentations that occur during transactions for which I have enlisted The Option's assistance.
  • I agree to review the MLS data for any new listings prior to The Option making any listings Active.
  • I understand that The Option’s Coordinators may or may not be licensed Realtors, therefore The Option cannot conduct any negotiating on behalf of the Client.
  • I have completed at least 3 transactions on my own and am able to complete all parts of a transaction independently.
  • It is my responsibility to know when there is a change to Real Estate Law, or my Brokerage’s Policies and Procedures and I will notify The Option of any changes in writing, in a timely manner, when applicable.
  • I agree to fill out a Listing or Buyer Intake Form through The Option website for each transaction I wish to have The Option's assistance on.
  • I understand the hours of operations are Monday- Friday 9:00-6:00, holidays will affect these hours and any communication received will be processed the next business day. Unless otherwise communicated and agreed upon for an additional charge.
