📋 How to Export a Tagged Contact List from KW Command (Step-by-Step Guide)

When it’s time to send out your holiday cards, client appreciation gifts, or event invitations, having an organized mailing list is essential. Luckily, KW Command makes it simple to extract a clean, ready-to-use contact list — you just need to know where to click.

Whether you’re prepping your 2025 Holiday Card mailing, or any other client outreach campaign, this quick step-by-step guide will walk you through how to filter, select, and export your contacts with precision.

Step 1: Filter Contacts by Tag

Your tags are your secret weapon for segmentation. Before exporting, make sure the right tag is assigned to your intended audience.

  1. Log in to KW Command and open the Contacts applet from the main menu.
  2. Click the Filters button (found near the upper-right corner).
  3. Scroll to the Tags section in the filter options.
  4. Begin typing your designated tag — for example, “2025 Holiday Card” — and select it from the dropdown list.
  5. Click Apply to view all contacts associated with that tag.

🪄 Pro Tip: Create your tags ahead of time (like “VIP Clients,” “Holiday Card 2025,” or “SOI Gift List”) to keep your marketing lists clean and ready to use all year long.

Step 2: Export the Filtered List

Once your tagged list appears on screen, it’s time to download it in the right format for printing or uploading to your preferred mailing tool.

  1. Click the checkbox at the top of the contact list to select all visible contacts.
  2. If your list spans multiple pages, look for a prompt at the top that says “Select all [#] contacts.” Click this link to make sure you include every contact, not just the first page.
  3. Next, click the Bulk Actions dropdown menu.
  4. Choose Export Mailing Labels from the list of available actions.
  5. KW Command will begin processing the export. You’ll see a notification (bell icon) appear once your file is ready.
  6. Click the notification to download your CSV — it’s already formatted perfectly for standard Avery-style mailing labels.

Bonus Tip from The Option Team

Before printing or handing the list off to your marketing assistant, open the CSV and double-check these details:

  • Remove duplicates or test entries.
  • Confirm each contact has a complete mailing address (street, city, state, ZIP).
  • Save a clean version to your shared drive for future client touchpoints.

Having a system like this means you can pull targeted lists for:

  • Pie pickup events 🥧
  • Annual client appreciation gifts 🎁
  • Seasonal newsletters 📰
  • Custom card mailings 💌
  • At The Option, we believe that organized systems = stress-free marketing.
Follow this guide once, and you’ll never dread your mailing list prep again!
