How Does It Work?

To set your newsletter up for success, we start with a comprehensive 90-day launch plan. This crucial period helps us warm up your database, engage your audience, and deliver measurable results through high-quality, personalized content.

To ensure everything runs smoothly, you’ll need to complete and submit two forms each month:

SOI Form: Due by the 2nd


LORE Form: Due by the 15th

These forms will be sent directly to your email, and you can also save the submission link for easy access.

Once your Newsletter Request Form is submitted, our team gets to work! Within 48 hours, you’ll receive a draft version of your newsletter for review. This ensures you have plenty of time to look over the content and make any updates or additions before it goes out.

Step 2: Agent Edits → 48 Hours to Return Revisions

After receiving your draft, you’ll have 48 hours to send us any edits or changes you’d like made. This keeps your newsletter production on schedule and ensures all updates are reflected before final approval.

Step 3: Agent Approval → Scheduled Send Around the 15th

Once you approve the final version, we’ll handle the rest! Your newsletter will be queued for delivery on or about the 15th of the month, perfectly timed to stay consistent and relevant for your audience.

Do you manage my database or CRM?

We do not offer database management services. Your Customer Relationship Management (CRM) system needs to be pre-organized with tags. Alternatively, please provide us with:

  • Your Mailchimp login credentials, and
  • A CSV file containing your Sphere of Influence (SOI) contacts.

Once we have this, we will efficiently load and dispatch your SOI and LORE (Local Real Estate) newsletters.

Should you require database cleanup or organization, our dedicated Database Team can assist with this as a separate project, quoted via a custom proposal.

When are newsletters sent?

SOI Newsletters: These are typically dispatched on the 15th of each month, around 10:00 AM EST. If the 15th occurs on a Saturday or Sunday, the newsletter will be sent the following Monday.

LORE Newsletters:
Expect the LORE Newsletter on the 25th of each month.

When are form submissions due?

To ensure your content is fully reviewed, scheduled, and ready for publication in our newsletters, please adhere to the following submission deadlines:

  • SOI Newsletter: The 2nd of each month.
  • LORE Newsletter: The 15th of each month.

What kind of content should I provide?

We highly recommend including photos, videos, and local content in your newsletters to maximize engagement.

Don’t worry—we’ll also provide monthly content ideas to help spark inspiration and keep your messages fresh.

What happens if I miss a deadline?

If content is not submitted by the deadline, you will not receive an SOI or LORE send for that month.

Can you customize newsletters for my brand?

Yes! We design newsletters to align with your branding and voice. By providing high-quality images, videos, or local stories, we can personalize your newsletter to feel authentic and engaging for your SOI.

Who do I contact for support?

For newsletter-related support, reach out to our VA Leverage Team or directly to your personal The Option Leverage VA if you have one. If you require database cleanup or a CRM project, we’ll connect you with our Database Team for a proposal.

What platforms do you support?

We support HTML-based newsletter CRMs, as well as KW Command, Mailchimp and Constant Contact.
